Terms and Conditions

Notice Archive collects personal information from the Notice Archive platform and City of Canada Bay Council for the sole purpose of fulfilling the provision of the Notice Services. The Notice Services are provided to the property owners or their authorised agents.

Our Privacy Policy describes how we manage personal information, including the kinds of personal information we collect, the purposes for which we collect personal information, and how we hold, use and disclose personal information. By using our products and services (including our website) or by providing your personal information to us, you agree to the terms of this Privacy Policy.

Certain sections of, or offerings from, Notice Archive may require you to register. If registration is requested, you agree to provide us with accurate, complete registration information. Your registration must be done using your real name and accurate information. Each registration is for your use only and on behalf of the stated entity.

We do not permit:

a) any other person using the registered sections under your name; or

b) access through a single name being made available to multiple users on a network.

You are responsible for preventing such unauthorised use. We will endeavour to ensure that the personal information it holds is accurate, complete, and up to date. We will systematically append and/or update any new personal information you provide to your existing customer record. This ensures that your customer record is complete and up to date. It is important that you make sure the personal information we hold about you is accurate, up to date and complete. If any of your details change or if you believe that any personal information, we have collected about you is inaccurate, you can update your contact details via your Notice Archive account or visit our website for contact information, and we will take reasonable steps to correct it in accordance with the requirements of the Privacy Acts.

This section details the specific terms and conditions applicable to subscribers who receive their rates notices electronically via email.

Property owners

  1. Once you have successfully registered for the email service, all future rates notices including Rates and Charges Notices, Instalment Notices, and reminders will be sent to you via email. You will no longer receive notices through other channels, such as postal mail or BPAY View.
  2. Should you need your rates notices to be sent to multiple email addresses, please email council@canadabay.nsw.gov.au. Do not create another registration as it will overwrite the existing one.
  3. Rates notices will not be sent to the property owner(s) after an authorised managing agent requests council to directly send future notices to them.
  4. Changes relating to ownership and/or land description may reset the notice delivery to the default post method. Please re-register for email delivery if necessary.
  5. A rates notice is deemed to be received once it has been emailed to the nominated email address.
  6. To cancel your email registration, please email council@canadabay.nsw.gov.au. Include your preferred method for receiving future notices. If no instruction is specified, future notices will be sent to your most recent postal address in council’s records.
  7. Additional hard copies of rates notices can be requested, subject to the fees outlined in Council’s Fees and Charges.
  8. If an email fails to deliver or bounces back, a hard copy will be sent to your most recent postal address on record. Continued email delivery failures may lead to the cancellation of your email registration, and future notices will be sent by post.
  9. In cases of debt recovery action, relevant correspondence will also be sent to your most recent postal address on record.
  10. If a valid mobile number is provided during email registration, Council may send reminder notices via SMS for any missed instalment payments.

Managing Agents

The following additional terms and conditions apply to managing agents:

  1. All requests for changes to rates notice delivery, such as adding or removing an email address, must be emailed to council@canadabay.nsw.gov.au. Registration for individual properties will not be approved without prior notification to Council.
  2. Managing agents must provide a generic email address (that can be accessed by multiple staff members) to receive rates notices via email.
  3. Rates notices are sent to major managing agents as a merged PDF. Individual copies can be downloaded from the Notice Archive Account, which requires separate registration.
